The practice collects the personal and health information needed to provide safe clinical care: your name, date of birth, contact details, Medicare and health fund details, referral information, medical and obstetric history, examination findings, test and imaging results, and correspondence about your care.
Information is usually collected directly from you, and also from your referring doctor, hospitals where you receive care, pathology and radiology providers, and My Health Record where you have consented to its use.
Your information is used to assess and treat you, to communicate with other practitioners involved in your care, to bill and claim through Medicare and your health fund, and to meet legal and professional obligations including medical record retention.
De-identified information may be used for clinical audit and quality improvement. Your information is not used for marketing, and is never sold.
Information is shared only as needed for your care or as required by law, including with:
Hospital record-sharing is a normal and necessary part of admitted care: staff who look after you in theatre, on the ward or in the birth suite will have access to the clinical information they need. Your information is not disclosed overseas.
Records are held electronically in a clinical practice management system hosted in Australia, with access limited to authorised practice staff, individual logins and audit logging. Any paper records are stored securely on locked premises.
Records are retained for the period required by Victorian law — generally seven years from the last occasion of service, or until a child patient turns 25 — and are then securely destroyed.
The enquiry form on this website collects your name, contact details, referral details and your reason for enquiry. Because the reason you give may indicate that you are pregnant or seeking gynaecological care, this is treated as health information.
How an enquiry is handled:
The form is not monitored outside business hours and must not be used for urgent or emergency concerns. For anything urgent, call the rooms on 03 8400 6193 during business hours, the hospital where you are booked, or 000 in an emergency.
Please keep what you write brief. A sentence about why you are getting in touch is enough — detailed clinical history is better discussed at your appointment than sent by email.
The website does not sell information to advertisers. With your permission, some public pages (the home page, About, Obstetric Care, Gynaecological Care, Locations, For Referring Doctors, Research and Media, Contact and this policy) use a Meta Pixel cookie to measure visits that arrive from Instagram and Facebook. It records that a page was viewed and nothing you type. It is never placed on the forms, the enquiry page, patient information or patient resources. You can accept or decline when you first visit, and change your cookie choice at any time. Meta handles this information under its own privacy policy. The practice may also use a basic analytics service to understand which pages are visited and how people find the site. Where analytics are in use, the information collected is aggregated and statistical — pages viewed, approximate location, device and browser type — and is not used to identify you or linked to your patient record.
If you email or telephone the practice instead of using the form, that correspondence is handled the same way.
You may request access to your record, or ask for a correction if you believe something is inaccurate or out of date. Requests should be made in writing to the practice. An administrative fee may apply for copying, and requests are usually answered within 30 days.
In limited circumstances access may be refused — for example where release would pose a serious risk to someone’s health or safety. If that happens, the reason will be explained in writing and alternatives discussed.
If you have a concern about how your information has been handled, please raise it with the practice first — in writing to the practice manager, or by phone on 03 8400 6193. Complaints are acknowledged within five business days and responded to within 30 days.
Raising a concern will not affect the care you receive.
